You Guide To Performing Vehicle Change Overs in Prohire

If a customer brings back their vehicle because it has broken down or needs to have a service or they are just not happy with it, then instead of closing down the hire and opening up a new one the simplest way is to do a 'vehicle change over' within the booking. To do this you need to open up the booking and go to the Vehicle Details tab then click on the New Change Over button.

When the New change over button has been clicked, the below screen will appear. There are 3 options here, you can either do a changeover for now, the future or the past. I will be doing vehicle changeover for 'now' so I leave the Now option selected (If I wanted to do a future or past changeover I will still have to follow the next steps because the other options are not automatic - they are there to show on the allocation chart that a changeover is due). The next thing to do is to select the vehicle you want them to go into and you do this by clicking on the box with the 3 “…”. When clicked this will bring up the vehicle selection box, here you can search all the vehicles on your fleet. Search for the vehicle you would like the change to occue on, and then double click on it.

Once you have selected the vehicle it will populate the previous screen with vehicle check out details. Then click on the Changeover Now green tick at the top of the page.

When the green tick has been clicked it will take you to the Vehicle Changeover details screen, this is where you check in your previous vehicle. It’s the same process as the normal check in the only difference is that you have to click on the Finish flag to complete it (if you click on the OK button it will leave the previous vehicle in a returned state which then can be checked in at a later date).

If you have clicked on OK to put the vehicle into a returned state on the vehicle details tab, you get a check in changeover button. You will need to click on this before check in the whole booking otherwise Prohire won’t let you go any further. Once the check in changeover button has been clicked on, the same screen as above will appear
