Our solution for managing risks integrates to protect against troublesome renters.

Renting a vehicle to the wrong person can harm your business. Risky customers, who may be prone to theft, fraud, or abusive behaviour, can significantly impact your operations. They might fail to return vehicles, cause damage, or engage in other problematic activities, resulting in financial losses and damaging your reputation.

This is where Prohire Software’s integrated risk management solution comes in. Our Prohire Risk module is designed to help you proactively manage and mitigate these risks. With access to a comprehensive database of problematic drivers and advanced screening techniques, Prohire Risk allows you to identify potential issues before they become problems.

Prohire Risk provides several key features to protect your business:

  • Enhanced Driver Screening: When users enter the customer’s details, they can perform a risk check, which compares the details against the global risk database to identify high-risk hirers.
  • Customisable Risk Reports: Generate private reports for internal use and public reports for sharing with other Prohire users.
  • Approval Process for Reports: Reports can be set to a “waiting-for-approval” state, allowing management to review and authorise them before finalisation and sharing.
  • Seamless Integration: Prohire Risk is fully integrated into the Prohire system, making risk information easily accessible alongside other rental operations, streamlining processes and keeping all relevant data together.

To show how this works, we spoke with Lewis Dadd and Marc Hemsley from our support team, who have extensive experience advising Prohire customers on using Prohire Risk.

Why Prohire Risk?

The vehicle rental industry is fraught with risks, including damage and loss. These issues not only involve substantial costs but also impact customer satisfaction. Prohire Risk helps mitigate these risks and safeguard your fleet and business. As Lewis explains, “Risk is a product for highlighting previous hirers of yours that are, for whatever reason, considered risky to hire again in future. (This could be that they are difficult to receive payment from or damaged the vehicle in a non-accidental way).”

Prohire Risk includes enhanced driver screening, offering access to a database of problematic drivers. This allows you to review a driver’s history before handing over the keys, significantly reducing the chances of fleet damage. Marc adds, “Prohire Risk is an excellent tool for safeguarding your fleet and minimising potential conflicts. Any customers labelled ‘Risky’ by Prohire users will be added to the risk database. When these customers attempt to book with another rental company using Prohire risk management, the system will check the database for any previous issues and flag them. These issues can range from failure to pay invoices to abusive behaviour towards staff to vehicle theft.”

Accessing reports is straightforward; Prohire Risk is seamlessly integrated into the Prohire system for ease of use. As Lewis emphasises, “Risk reports are tied to Prohire bookings and the hirer themselves on the software, so it is easy to look back historically at previous ‘risky’ hirers. While also keeping everything in one place.”

Lewis also notes, “Risk is a great way to avoid unnecessary admin costs with hirers and reduce the chances of damage to your fleet.”

Driver screening reports can be customised. As Lewis points out, “You can create Risk reports set to a private level, where only people within your company can view them. Alternatively, they can be set to a public level, where anyone else signed up to the Prohire Risk network can see them.”

A user’s report will then join the 20,000 records shared between any rental company that uses Prohire. Alternatively, you can report the client and keep the details hidden, alerting your staff if a booking is attempted in the future but not published to the broader network.

“Risk reports created by front desk users can be put into a waiting-for-approval state so that management can check and authorise them before they are published,” adds Lewis.

Adding clients to the database follows proper procedures. A client is always added to or removed from the Prohire Risk database through a collaborative process that ensures the protection of your assets and enforcement of your rights. Marc emphasises how simple this process is: “Creating a risk report couldn’t be easier, as there are many ways of doing it. One way is to create a report at the end of the booking. Another option is to have a prompt that pops up asking if a risk report needs to be made.”

In summary, Prohire Risk offers a robust solution for managing and mitigating risks associated with vehicle rentals. Integrating risk management into your workflow can safeguard your fleet, reduce potential conflicts, and streamline your administrative processes. As Lewis aptly puts it, “Risk is free of charge to take on board, so there isn’t any reason not to sign up and take advantage of the benefits.” Embracing Prohire Risk ensures you control your rental operations while protecting your assets and enhancing overall business efficiency.
